2. Scope of This Policy

Although Asianbase is established in Hong Kong, this website is accessible from, and actively offers products and services to, customers located in the European Union. For this reason, and in accordance with Article 3(2) of the GDPR, we apply GDPR standards to the personal data of individuals located in the EU/EEA who visit this website or contact us, regardless of where our company is legally established.

Visitors located outside the EU/EEA, including in Hong Kong, remain protected under applicable local data protection law, including the PDPO.

3. Personal Data We Collect

We collect personal data only when you actively provide it to us, or automatically through standard website technologies. Specifically:

  • Contact Form: when you use the Contact form, we collect your name, email address, subject, and the content of your message. This data is used strictly for internal purposes – to read, evaluate, and respond to your message – and is never used for marketing profiling, nor sold or disclosed to third parties.
  • Quote / Enquiry Requests: when you use our “Get a Quote” tool or otherwise request commercial information, we collect the contact and business details you choose to provide (for example, name, company name, email address, and details of the products or services you are enquiring about).
  • Order Enquiries: when you contact us regarding an order, we collect the information necessary to identify you and process your request.
  • Automatically Collected Data: when you browse our website, our servers and cookies may automatically collect technical information such as your IP address, browser type and version, device type, pages visited, referring website, and date and time of access.
  • Cookies: see Section 6 below.

We do not knowingly collect any special category data (such as data revealing health, religion, or political opinions) through this website.

4. How We Use Your Personal Data

We use the personal data described above for the following purposes:

  • To respond to enquiries submitted through our Contact form or by email;
  • To prepare and provide quotes, price estimates, and commercial proposals;
  • To process and follow up on order enquiries;
  • To manage our ongoing business relationship with customers and prospective customers;
  • To maintain the security, proper functioning, and improvement of our website;
  • To comply with applicable legal, accounting, and tax obligations.

5. Legal Basis for Processing (Article 6 GDPR)

For visitors located in the EU/EEA, we rely on the following legal bases:

  • Performance of a contract or pre-contractual steps (Art. 6(1)(b)), for quote requests and order enquiries taken at your request;
  • Legitimate interest (Art. 6(1)(f)), to respond to general enquiries, operate and secure our website, and maintain business communications, provided this does not override your fundamental rights;
  • Consent (Art. 6(1)(a)), for non-essential cookies and any related tracking or marketing technologies;
  • Legal obligation (Art. 6(1)(c)), where processing is necessary to comply with a legal requirement (for example, accounting records).

You may withdraw consent at any time where processing is based on consent, without affecting the lawfulness of processing carried out before the withdrawal.

6. Cookies and Similar Technologies

This website uses a cookie consent banner that allows you to accept or refuse the use of cookies before non-essential technologies are activated. Cookies used on this website may fall into the following categories:

  • Necessary / Functional cookies: required for the website to operate correctly (for example, remembering your cookie preferences). These do not require consent and cannot be disabled.
  • Preference cookies: used to remember choices you make on the website to improve your experience.
  • Statistics cookies: used to collect anonymised or pseudonymised information about how visitors use our website, only if and when such tools are actually activated.
  • Marketing cookies: used to deliver content more relevant to you and your interests, only if and when such tools are actually activated.

Preference, Statistics, and Marketing cookies are only set with your prior consent, given through the cookie banner available on this website. You can review or withdraw your consent at any time using the cookie preferences link/button available on the website.

Some pages of this website embed third-party services (for example, our online product catalogues, hosted via Issuu) which may set their own cookies. These third parties act as independent controllers of the data collected through their tools, and we encourage you to review their respective privacy policies.

7. Who We Share Your Data With

We do not sell your personal data, and we do not use it for third-party marketing or profiling purposes. In particular, the data you submit through our Contact form (name, email address, message) is used only internally by Asianbase to handle your enquiry, and is not disclosed to third parties for marketing purposes. We may share personal data only with:

  • Authorised Asianbase personnel who need the information to respond to your enquiry or manage the business relationship, whether based in Hong Kong or supporting our European customers;
  • Our website hosting provider, Aruba S.p.A. (Via San Clemente 53, 24036 Ponte San Pietro (BG), Italy), which stores the website and any data submitted through it on its servers;
  • IT service providers and email providers who support our technical infrastructure;
  • Third-party platforms embedded in our website (for example, our catalogue viewer), solely to the extent necessary to provide that specific feature;
  • Public authorities or professional advisers, where required by law or to protect our legal rights.

8. International Data Transfers

Our website is hosted on servers located in Italy (European Union), operated by Aruba S.p.A. However, as our company is established in Hong Kong, personal data submitted through our forms may also be accessed by authorised staff located in Hong Kong in order to respond to your enquiry.

Hong Kong does not currently benefit from an adequacy decision issued by the European Commission. Where personal data of EU/EEA residents is transferred to Hong Kong, we rely on appropriate safeguards permitted under the GDPR (such as the European Commission’s Standard Contractual Clauses) or, where applicable, on the derogations set out in Article 49 GDPR – for example, where the transfer is necessary to perform a contract concluded in your interest, such as responding to a quote request you have submitted to us.

9. Data Retention

We retain personal data only for as long as necessary to fulfil the purposes described in this Policy: generally, for the duration of our business relationship with you and for a reasonable period afterward to handle any follow-up communication, or for the period required to comply with applicable legal, accounting, or tax obligations. After this period, personal data is securely deleted or anonymised.

10. Data Security

We implement reasonable technical and organisational measures designed to protect personal data against unauthorised access, disclosure, alteration, loss, or destruction. While we take these precautions seriously, no method of transmission or storage over the Internet is completely secure, and we cannot guarantee absolute security.

11. Your Rights

If you are located in the EU/EEA, under the GDPR you have the right to:

  • Request access to the personal data we hold about you;
  • Request correction of inaccurate or incomplete data;
  • Request erasure of your personal data, where applicable;
  • Request restriction of the processing of your personal data;
  • Object to processing based on our legitimate interest;
  • Request portability of the data you have provided to us, where technically feasible;
  • Withdraw your consent at any time, where processing is based on consent;
  • Lodge a complaint with the data protection supervisory authority in your EU/EEA country of residence.

If you are located in Hong Kong, you may have corresponding rights under the PDPO, including rights of access and correction, and may contact the Office of the Privacy Commissioner for Personal Data (PCPD) if you have unresolved concerns.

To exercise any of these rights, please contact us using the details in Section 15 below. We may need to verify your identity before responding to your request.

12. Children’s Privacy

This website is directed at business customers and is not intended for children. We do not knowingly collect personal data from individuals under the age of 16.

13. Third-Party Links and Services

Our website may contain links to third-party websites and services, including social media platforms (such as Instagram) and our online catalogue viewer. We are not responsible for the privacy practices or content of these third parties, and we encourage you to review their respective privacy policies before providing them with any personal data.

14. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, our website, or applicable law. Any updates will be published on this page together with a revised “Last updated” date. We encourage you to review this page periodically.
